A dependable estimating system built to last

A construction company had been leaning on an aging spreadsheet estimating tool that had grown fragile over the years. Outdated macros, version conflicts, and a reliance on annual license codes from the original developer meant frequent crashes and constant manual updates on every estimator's desktop. Regroove rebuilt the tool from the ground up as a clean and macro free estimating system, with standardized scope templates for common trades such as concrete and framing, centralized pricing hosted in SharePoint, and a summary page that pulls totals from every scope file. Estimators now work reliably without licensing restrictions or compatibility headaches, and the system was designed to grow with the business over time.

Mechanical Services British Columbia

A modern phone system that lives inside Microsoft 365

A mechanical services company wanted to modernize its telephone system and move away from a traditional carrier. Regroove designed and delivered a full migration to Microsoft Teams Phone, bringing the organization's calling into the same platform the team already used every day. The project covered porting the main business lines, setting up calling plans with pooled minutes shared across users, and configuring voicemail, call forwarding, auto attendants, and call queues so communication kept flowing smoothly. Regroove also handled emergency calling locations, security policies for call data, network readiness checks, and hands on training. Because the company already worked inside Microsoft 365, the move gave them centralized management, better mobility, and a more flexible phone system at a lower ongoing cost.

Two email environments brought together in one place

A drywall and fire stopping business needed to bring several email environments under one roof. Two separate domains were involved, one running on Google Workspace and another hosted with a traditional web host, and the company wanted everything consolidated inside a single Microsoft 365 tenant. Regroove planned and carried out both migrations from start to finish. The larger move brought more than a dozen mailboxes across, including two sizeable accounts, while preserving full historical email and keeping the existing domain intact. The second migration moved the remaining mailboxes and finished with a clean cutover of the domain records. Every mailbox landed safely in Microsoft 365, historical mail was preserved, and administration was unified in one place.

Apparel Canada

Stronger account security without the friction

An apparel company wanted to tighten the security around its email and user accounts and cut the risk of unauthorized access. Regroove rolled out multifactor authentication shaped around how the business was licensed. For users on premium licensing, Regroove configured conditional access policies that required a second verification step, blocked sign ins from outside Canada, and shut down older and less secure authentication methods. For the remaining users, Regroove enabled per user multifactor authentication so every account carried an extra layer of protection at sign in. The team relied on a familiar authenticator app on their phones, and Regroove prepared clear instructions so the rollout stayed smooth. The company significantly reduced its exposure to account compromise, all delivered remotely with minimal disruption.

A reliable workstation refresh, delivered ready to use

An environmental services firm needed a refresh of workstations for its team. Regroove sourced and supplied six business desktop computers configured for everyday office work such as email, spreadsheets, and collaboration. Each unit was a compact and durable business class machine with modern processing, generous memory, fast storage, and enterprise grade security features, all backed by a three year onsite warranty for long term peace of mind. Regroove handled the sourcing, pricing, and coordination so the client could simply receive ready to use systems delivered straight to their office. The result was a cost effective and reliable hardware refresh that set the team up with dependable equipment for years of daily operations.

Finding the root of a SharePoint slowdown

An engineering firm had recently moved to SharePoint to improve collaboration, but staff were running into performance and reliability problems. Many of the team worked in File Explorer with large files such as drawings, geographic data, and design documents, and they were seeing slow synchronization, version conflicts, and the occasional corrupted file. These issues disrupted daily work and sometimes led to outdated files being shared externally. Regroove assessed the environment closely, reviewing the current setup to understand why SharePoint was underperforming and to pinpoint the gaps, risks, and opportunities for improvement. From there Regroove delivered clear recommendations to stabilize file syncing and improve access for a team that depends on large and complex files every day.

A simple, organized home for department documents

A municipal police department needed a simple, organized place to store and share documents without the complexity that often comes with SharePoint. Regroove built a new team site connected to the department's existing hub, with a single document library organized into a handful of clear folders. Permissions were kept consistent across the entire structure so every user could find what they needed without confusion or extra administrative overhead. Regroove also configured the navigation across the hub so every connected site felt like part of one consistent experience. The department finished with a clean, lightweight system built for easy adoption, backed by coaching that helped the team stay self sufficient going forward.

Nonprofit British Columbia

Moving off an aging file server without losing a single file

A nonprofit organization that manages conservation programs across the province was still running its shared files from an on premises file server, making remote access and collaboration difficult for a team that increasingly worked from different locations. Regroove planned and ran a full migration to SharePoint Online and Microsoft Teams, starting with governance sessions to shape how sites, permissions, and navigation should be structured. The organization was split into four business areas, each reviewed individually before Regroove built out the new sites, teams, and global navigation to match. Regroove ran the migration in phases, applied permissions to match the agreed structure, and followed up with coaching sessions so staff felt comfortable working in Teams and SharePoint from day one. The organization ended up with a modern, cloud based home for its files and a team that knew how to use it.

File Migration

Government British Columbia

Turning scattered project files into one reliable source of truth

A municipal government was managing dozens of projects and services across a large collection of Word documents, disconnected spreadsheets, and separate SharePoint folders, each kept up by different staff in different departments. Key details such as budgets, timelines, and funding sources had to be retyped by hand into several different files every time something changed, and that repeated manual entry meant numbers drifted out of sync and no single document could be trusted as the definitive record. Regroove designed and built a fully connected Excel based system to replace the old Word based approach. A converter tool brought existing Word documents into a structured Excel format without losing any historical data, a standardized master template gave every new project a consistent, machine readable layout, and a central consolidation workbook automatically pulled information from every project file into one live dashboard. Staff could finally see the true, current state of every project and service without opening a single file by hand, and the new system was built to scale as more departments adopt it.

Nonprofit British Columbia

Bringing a second location onto one connected phone system

A nonprofit conservation society already used Microsoft Teams Phone at its main office and needed a second location added to the same system, moving the site off its existing carrier entirely. Regroove planned the migration from the ground up, documenting every phone line, extension, and calling feature the location relied on before mapping out how calls should flow once the number moved to Teams. The main line at the new location was set up as a common area phone and folded directly into the organization's existing call tree, so callers reached the same experience regardless of which office they called. Regroove coordinated the number port with the outgoing carrier, configured a dedicated voicemail for the location, and set up the required calling plan and emergency location settings before handing the new phone hardware over ready to use. The society ended up with one unified phone system across both locations instead of two separate providers to manage.

A legacy purchase order system rebuilt for the future

An engineering firm had relied on a custom SharePoint tool built roughly a decade earlier to create and manage every purchase order sent to vendors, but years of platform changes had turned the underlying code into a fragile piece of technical debt that was risky and costly to keep patching. Regroove ran a full discovery process, mapping how the team actually created purchase orders, tracked revisions, and moved information between vendor quotes, projects, and clients, then rebuilt the entire system on the Microsoft Power Platform. The new app kept the purchase order numbering, revision tracking, and layout the team already knew, while moving the underlying data into Dataverse and keeping the existing SharePoint lists connected so nothing in the wider organization had to change. Users can still add a purchase order in seconds with vendor, client, and project details filled in automatically, generate a clean printable copy for sign off, and revise an issued order without losing its history. The result is a purpose built tool that fits the way the team already works, free of the legacy code that had been slowly becoming unmanageable.

Replacing a failing switch before it took the network down

An environmental services firm was running its office network on a switch that had been in service for about a decade, and it had started developing failed ports that put the whole office at risk of losing connectivity. Regroove sourced a modern replacement switch built for the same network ecosystem the client already relied on, so nothing else in the network needed to change. Once the new switch arrived onsite, a technician handled the physical installation and initial setup, and a senior technician finished the configuration remotely. As part of the same visit, Regroove also replaced the VPN agents running on every workstation and issued each user new VPN credentials, clearing out an older setup at the same time. The client ended up with a reliable, modern switch backed by a five year manufacturer warranty and a refreshed VPN setup, all coordinated in a single visit.

Retail British Columbia

A retailer moves off aging servers and onto a modern, secure workplace

A retailer was running critical operations on three aging on premises servers alongside Google Workspace for email and files, with equipment moving past its warranty and no longer receiving security updates from the manufacturer. Regroove planned and delivered a full move to Microsoft 365, replacing the legacy servers with Exchange Online, SharePoint Online, OneDrive, and Microsoft Teams, and building identity and device management around Microsoft Entra ID and Microsoft Intune so every Windows, macOS, iOS, and Android device followed the same security baseline. Two line of business applications used every day by the team were kept running locally on dedicated, properly resourced machines rather than being disrupted by the migration, protecting the databases they depend on. For the design team, Regroove introduced a cloud file streaming platform built for large creative files, complete with the file locking a design team needs to avoid corrupting shared work, alongside a network storage appliance for long term archive so nothing had to live on a server anymore. Independent backup was configured for both Microsoft 365 and the workstations hosting business critical databases, with data kept on Canadian soil. The retailer came out with a modern, cloud based workplace that removed the risk of aging hardware and gave every device and account the same consistent security posture.
