Canceling a meeting you organized in Outlook is straightforward once you know where the option actually lives, but it is different depending on whether you want to cancel the whole series or just one occurrence, and getting that distinction wrong is the most common mistake people make.
Canceling a single meeting
Open the meeting from your calendar and select Cancel Meeting from the ribbon, or right click it in the calendar grid and choose the same option. Outlook gives you a chance to add a short message explaining the cancellation before it goes out. Select Send Cancellation and every attendee gets notified automatically, and the meeting disappears from their calendars once they receive it.
Canceling one occurrence of a recurring meeting
Open the specific occurrence rather than the series, and Outlook will ask whether you want to cancel just this instance or the entire series. Choose this occurrence. The rest of the recurring series continues on schedule, and only that one date drops off everyone's calendar.
Canceling an entire recurring series
Open any occurrence, select Cancel Meeting, and this time choose the entire series when prompted. This removes every future occurrence for all attendees at once. Past occurrences that already happened are not affected.
If you are not the organizer
Only the person who created the meeting can cancel it for everyone. If you were invited to a meeting you no longer want on your own calendar, use Decline instead, which removes it from your calendar without affecting anyone else's.
