SharePoint Migration for Vancouver Organizations
Moving off a file server or a disorganized old SharePoint site takes more than copying files across. Regroove plans the structure first, then migrates content, permissions, and metadata into a SharePoint environment built to stay organized.
A migration that respects how your files are organized
File server migrations we have actually run
We have moved a provincial conservation nonprofit off an aging on premises file server into SharePoint Online and Teams, governance sessions and all, so this is proven work, not a first attempt.
Folder structure translated, not dumped
Existing folder hierarchies are reviewed and mapped into a proper SharePoint structure with metadata, rather than uploaded as one giant flat library.
Permissions carried across correctly
Access rights from the old system are reviewed and rebuilt in SharePoint intentionally, closing gaps that often exist in file server permissions nobody has audited in years.
Version history preserved
File version history and metadata move with the content wherever the source system supports it, instead of arriving as a single flattened copy.
Governance sessions before the build
Before anything migrates, we run governance sessions to agree on site structure, ownership, and navigation, the same approach we used for a multi department nonprofit migration.
Local enough for on site cutover
With a head office in Burnaby, on site support during a Vancouver migration weekend is a realistic option when the project needs it.
How the migration actually runs
Source system audit
We map every folder, permission group, and piece of metadata in the current file server or legacy system before planning the destination structure.
Governance sessions
Site structure, ownership, and navigation are agreed on with stakeholders before migration starts, the same process we used for a nonprofit spanning four separate business areas.
Site build
SharePoint sites, libraries, and permission groups are built to match the agreed structure, ready to receive migrated content.
Phased content migration
Content moves in phases by business area or department, so issues surface early and get fixed before the rest of the migration follows.
Coaching and cutover
Staff get hands on coaching in the new SharePoint and Teams structure, and the old file server is decommissioned only once everyone is comfortable working in the new one.
