Consulting Agreement

Expert IT Guidance On a Retainer Basis

Some organizations have internal IT staff. Some are too small for a full managed services engagement. Some just need access to high-quality Microsoft advice on a regular basis without a large commitment. A consulting agreement gives you exactly that.

What a consulting agreement gives your organization

An advisor who knows your environment and can help you make better technology decisions month after month.

Regular expert access without a full engagement

A consulting agreement gives you a named Regroove advisor on a monthly retainer basis. Access to the right expertise without the scope or cost of full managed services.

Microsoft ecosystem expertise when you need it

Microsoft 365, Azure, Power Platform, Teams governance, Copilot readiness. Deep Microsoft expertise available on demand rather than searching for consultants when you have a specific need.

Strategic IT guidance and roadmap support

Someone who knows your environment and can help you make decisions about technology direction, spending priorities, and upcoming projects before you commit.

Supplement your internal IT or leadership team

Your IT team or operations leader may handle day-to-day IT well, but benefit from having a specialist to consult on harder questions. A consulting agreement fills that gap.

Flexible hour allocation by month

Hours can be used for advisory sessions, project guidance, documentation reviews, or ad hoc questions. You decide how to use the time based on what is most useful that month.

Quarterly business reviews included

Every quarter we step back and look at the bigger picture. Your IT roadmap, upcoming decisions, spending review, and any strategic changes on the horizon.

How we set up and run your retainer

Getting value from a consulting agreement starts with making sure the advisor knows your environment and your priorities.

01

Discovery and scoping conversation

We talk through your situation. Your team size, your IT complexity, what you are trying to achieve, and what kind of guidance would be most useful on a regular basis.

02

Agreement structure and hour allocation

We agree on monthly hours and how they can be used. Typical engagements range from 5 to 20 hours per month depending on the depth of involvement needed.

03

Kickoff and baseline assessment

Your advisor reviews your environment during the first month. Microsoft tenant, infrastructure, security posture, and any active projects get documented.

04

Recurring advisory sessions

Regular sessions are scheduled based on your preference, weekly, biweekly, or monthly. Ad hoc access is available for time-sensitive questions that come up between sessions.

05

Project and initiative support as needed

When you are evaluating a new tool, planning a migration, or facing a procurement decision, your advisor is available to help think it through and give you an honest perspective.

06

Quarterly business reviews

A structured quarterly session covers your IT roadmap, any strategic decisions coming up, and a review of what was accomplished and what is on the horizon.

Common questions

How is this different from managed services?

Managed services means Regroove takes operational responsibility for running your IT, including helpdesk, monitoring, patching, and security. A consulting agreement is advisory. We help you make better decisions, guide your team, and provide expertise on specific areas, but day-to-day IT operations stay with you or your existing team.

What can we use the hours for?

Advisory sessions, technology evaluations, project planning, documentation reviews, vendor assessments, Microsoft licensing guidance, security reviews, and strategic IT planning. Essentially anything where access to an experienced IT advisor adds value.

Can we roll over unused hours?

Typically hours are used within the month, but we can structure the agreement to allow a limited rollover if your usage pattern is irregular. We will discuss this during scoping so the agreement reflects how you actually work.

Who will we work with at Regroove?

You will have a named advisor who is consistent month to month. That person gets to know your environment, your team, and your organization, so you are not re-explaining context every time you need help. If specialist input is needed outside their area, they bring in the right person.
