At Regroove, we run a significant number of internal automations. Most of them run under a Microsoft account that is not tied to any individual employee. We call that account Clippy.
Why a Bot Account Makes Sense
The core problem with attaching automations to individual employee accounts is what happens when that person leaves or changes roles. If a Power Automate flow is tied to one employee's account and they leave unexpectedly, getting the permissions transferred to another account ranges from frustratingly difficult to practically impossible.
A dedicated bot account solves this. The automations belong to the account, not the person. When people come and go, the workflows continue uninterrupted.

Is a Bot Account Right for Every Organization?
Bot accounts work best in smaller teams or organizations where a dedicated cloud specialist manages the automated processes. In larger organizations, additional governance is required. This can be addressed through dedicated cloud specialists who own and monitor the automation workflows, audit logging that tracks all activity from the account, or working with an external consultant to build and maintain automations under appropriate oversight.
The underlying principle applies everywhere: automations that are built to be resilient and not dependent on any single employee's identity are significantly easier to maintain over time.
