{"id":1158,"date":"2020-12-03T23:31:02","date_gmt":"2020-12-03T23:31:02","guid":{"rendered":"https:\/\/regroove.ca\/stellark\/?p=1158"},"modified":"2023-02-24T17:17:32","modified_gmt":"2023-02-24T17:17:32","slug":"redirect-teams-auto-attendant-voicemail-to-a-channel","status":"publish","type":"post","link":"https:\/\/regroove.ca\/stellark\/2020\/12\/03\/redirect-teams-auto-attendant-voicemail-to-a-channel\/","title":{"rendered":"Redirect Teams Auto Attendant Voicemail to a Channel"},"content":{"rendered":"\n<p><strong>IMPORTANT! <\/strong> Please see this new <a href=\"https:\/\/regroove.ca\/stellark\/2021\/09\/15\/redirect-teams-auto-attendant-voicemail-to-a-channel-updated-method\/\">Post<\/a> as the method detailed below can stop working or will not work in some tenancy&#8217;s<\/p>\n\n\n\n<p>Microsoft 365 groups shared voicemail steps up to the plate for this particular use case scenario!<\/p>\n\n\n\n<p>Using Teams Voice with an Auto Attendant we <em>used<\/em> to route a call to &#8220;person in organization&#8221; if the call should:<\/p>\n\n\n\n<ul>\n<li>Time out<\/li>\n\n\n\n<li>Get missed by a call queue<\/li>\n\n\n\n<li>Ring after hours<\/li>\n\n\n\n<li>Ring during holiday schedule<\/li>\n<\/ul>\n\n\n\n<p>But there is a problem with this call flow.  What if that &#8220;person in organization&#8221; is on holidays or sick?  Now those voicemails aren&#8217;t accessible until they return because they exist in that users personal voice mailbox.<\/p>\n\n\n\n<p>This is where Microsoft 365 Group shared voicemail comes into play.<\/p>\n\n\n\n<p>Follow these steps to route the voicemail to a Teams channel that anyone can be notified of and respond to in a timely fashion.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Create a Service Account<\/h2>\n\n\n\n<p>This account will be used to facilitate delivery of new voicemails to a designated Teams Channel.<\/p>\n\n\n\n<p>This account will require a license for Exchange Online services. <\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Create a Microsoft 365 Group<\/h2>\n\n\n\n<p>This group should have a good descriptive name so that it reflects exactly what its purpose is.  Add the service account created above to this group as a member (members receive copies of group conversations)  Also ensure that the groups settings for &#8220;Send copies of group conversations and events to group members&#8221; is checked.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Configure the Call Queue<\/h2>\n\n\n\n<p>Redirect the &#8220;Call time out handling&#8221; to redirect to voicemail. Ensure that transcription is on and choose the Microsoft 365 Group you created above.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"892\" height=\"585\" src=\"https:\/\/regroove.ca\/stellark\/wp-content\/uploads\/sites\/3\/2020\/12\/image-5.png\" alt=\"\" class=\"wp-image-1159\" srcset=\"https:\/\/regroove.ca\/stellark\/wp-content\/uploads\/sites\/3\/2020\/12\/image-5.png 892w, https:\/\/regroove.ca\/stellark\/wp-content\/uploads\/sites\/3\/2020\/12\/image-5-300x197.png 300w, https:\/\/regroove.ca\/stellark\/wp-content\/uploads\/sites\/3\/2020\/12\/image-5-768x504.png 768w\" sizes=\"(max-width: 892px) 100vw, 892px\" \/><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\">Configure the Auto Attendant in Teams Admin Center<\/h2>\n\n\n\n<p>Choose to redirect the call for After Hours calling to voicemail and choose the Microsoft 365 group created above.  Again ensure that transcription is on.<\/p>\n\n\n\n<p>When applicable, the Holiday call flow can be configured to use the shared voicemail as well.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Create a new Team channel to receive the shared voicemail notifications<\/h2>\n\n\n\n<p>Either create a new Team for this purpose or use an existing one to create a new channel.  The channel name should be descriptive to reflect its purpose. <\/p>\n\n\n\n<p><strong>NOTE:<\/strong> ensure that the service account is an Owner of the Team you will use<\/p>\n\n\n\n<p>You will need to add users to this team who will be alerted to incoming messages so they will need to set up their channel notifications accordingly.<\/p>\n\n\n\n<p>Copy the channel mail address and save for a later step in this process.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Perform a test call to confirm the expected results<\/h2>\n\n\n\n<p>Placing a test call will also ensure that any members of the Microsoft 365 group will get notified by email and alerted to this &#8220;voice mail\/transcription&#8221; notification. <\/p>\n\n\n\n<p>Log into the service accounts mailbox to confirm the voicemail\/transcription email is present and review the contents.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Redirect the voicemail to the Team channel<\/h2>\n\n\n\n<p>This is the best part!<\/p>\n\n\n\n<p>From the service accounts mailbox set up a rule to forward any voicemail emails to the mail address of the channel created above. Voila!  Now any member of the Team with channel notifications will be informed of any missed calls!<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Promote the service account to the group owner<\/h2>\n\n\n\n<p>Once you have confirmed the process works promote the service account to owner of the group and remove yourself, but leave the service account as a member (needed to receive group conversations which in this case will be shared voicemails)<\/p>\n\n\n\n<p>Cheers!<\/p>\n\n\n\n<p>  <\/p>\n","protected":false},"excerpt":{"rendered":"<p>IMPORTANT!
