{"id":1363,"date":"2016-02-01T09:00:56","date_gmt":"2016-02-01T17:00:56","guid":{"rendered":"https:\/\/regroove.ca\/oh365eh\/?p=1363"},"modified":"2023-02-24T20:34:41","modified_gmt":"2023-02-24T20:34:41","slug":"cancel-business-meeting-outlook-calendar","status":"publish","type":"post","link":"https:\/\/regroove.ca\/oh365eh\/2016\/02\/01\/cancel-business-meeting-outlook-calendar\/","title":{"rendered":"Etiquette for How to Cancel a Business Meeting in an Outlook Calendar"},"content":{"rendered":"<p>If you need to reschedule or cancel a meeting, the\u00a0best approach IMHO is to respond\u00a0via the Outlook Calendar meeting <em>(versus a separate email, Yammer message, smoke signals, no show, etc.) <\/em><\/p>\n<p><strong>Why?<\/strong><\/p>\n<ol>\n<li>Emails related to Calendar invites stand out when one is quickly scanning\u00a0an inbox, and demand attention\/action.<\/li>\n<li>You&#8217;re saving time for the organizer as they can quickly reschedule without a bunch of clicks.<\/li>\n<\/ol>\n<p>Unfortunately there are some ways that, although easy for you, are a bit of a pain the butt for the organizer:<\/p>\n<p><strong>If you\u00a0simply decline a Calendar appointment,<\/strong> understand that:<\/p>\n<ul>\n<li>some folks<em> (*cough* me *cough*)<\/em> will start to grumble.<\/li>\n<li>other\u00a0folks will start to wonder&#8230; <em>(*queue the gossip*) What&#8217;s going on? Is everything all right at home? Is it something\u00a0I did?\u00a0Are\u00a0they pissed off? Is our relationship terminated? Did they accidentally click the wrong button? <\/em><\/li>\n<\/ul>\n<p>Declining an appointment means it\u00a0disappears from your calendar so you&#8217;re off the responsibility hook <em>(*yay*)<\/em>, but you&#8217;ve now the organizer is left hanging and you&#8217;re making extra work for them to track you down, get an answer, update the calendar appointment, etc. One more thing on the endless to do list.<\/p>\n<p>If you choose to decline,\u00a0at least do the\u00a0polite thing and enter a word or two of explanation.\u00a0<em>(How? Use the\u00a0&#8220;Edit the Response Before Sending&#8221; option under the decline button.)<\/em><\/p>\n<p><strong>If you use the Respond button in\u00a0the Calendar appointment, <\/strong>giving some context is nice &#8211;\u00a0<em>Are you delayed? Sick? Swamped?\u00a0Decided\u00a0our meeting is a lower priority than X, Y, or Z?<\/em> &#8211; but a date\/time of when to reschedule would be swell! If you don&#8217;t know, at least include a time frame of when you&#8217;ll be around to discuss a new date\/time for the rescheduled meeting..<\/p>\n<p><strong>If you <strong>Propose New Time<\/strong> in the\u00a0Calendar appointment (and\u00a0use the Scheduling Assistant\u00a0to find a window of time where we&#8217;re both available!)<\/strong><strong>,<\/strong> you&#8217;re getting in\u00a0my good books for life, and likely getting a Bubble Calendar for Christmas. xo<\/p>\n","protected":false},"excerpt":{"rendered":"<p>If you need to reschedule or cancel a meeting, the\u00a0best approach IMHO is to respond\u00a0via the Outlook Calendar meeting (versus a separate email, Yammer message, smoke signals, no show, etc.) Why?
