Fact:<\/strong> You can’t set up an alert for a SharePoint Group in SharePoint 2010 or SharePoint 2013.<\/p>\n

And for many that’s a great thing, as they dread the thought of more emails flooding their inboxes. But there are times, especially during the early days of rolling out an implementation or a new feature where notifications can be useful – not only to identify if people are making errors, not following instructions, or (worse) not showing up at all to perform the task you asked of them.<\/p>\n

So what’s a Site Owner or Admin to do (especially if workflows aren’t an option)?<\/p>\n

Fortunately, I happened across a brilliant tip shared in a TechNet forum post<\/a> by Mike Smith<\/a>, SharePoint MVP, MCT,\u00a0and TechTrainingNotes<\/a> blogger.
\nTake note – this one is a time saver!<\/p>\n

Here is the\u00a0quick workaround:<\/p>\n

    \n
  1. In the Site Settings > People and Groups > select the SharePoint Group.<\/li>\n
  2. Click the Select All check box<\/li>\n
  3. Actions menu > Select E-Mail Users<\/li>\n
  4. Follow the prompts to open Outlook to create a new email<\/li>\n
  5. Highlight the list of email addresses in the To field. Copy.<\/li>\n
  6. Paste into the alert screen.<\/li>\n<\/ol>\n

    Remember: You’re not actually adding the SharePoint group. You are adding the individual users in a batch. You will need to\u00a0remember to go and add\/remove\u00a0a new\/departing\u00a0person’s name later.<\/p>\n

    How do you keep track of\u00a0changes you make in your SharePoint site?<\/strong><\/p>\n

    I’d\u00a0recommend creating a OneNote notebook to store notes and screen clippings of changes to share with others as well as\u00a0jog your own memory.\u00a0At\u00a0itgroove<\/a>,\u00a0we use\u00a0the same\u00a0Notebook to store master copies of template checklists to reuse for various processes. Documentation is useless unless people read it\u00a0– so we complete our Change Control strategy by posting an announcement along with a\u00a0screenshot\u00a0in\u00a0a dedicated Group in our Yammer Network\u00a0(that our team is required to subscribe to). Everyone “likes” the post to communicate they’ve seen it – and\u00a0share their feedback using hashtags – which can\u00a0lead to lots of #lolz.<\/p>\n","protected":false},"excerpt":{"rendered":"
