{"id":305,"date":"2016-10-17T20:00:14","date_gmt":"2016-10-17T20:00:14","guid":{"rendered":"https:\/\/itgroove.net\/align\/?p=305"},"modified":"2023-02-23T15:43:20","modified_gmt":"2023-02-23T23:43:20","slug":"excel-for-beginners","status":"publish","type":"post","link":"https:\/\/regroove.ca\/karin\/excel-for-beginners\/","title":{"rendered":"Excel for Beginners: Why Use It? + Tips &amp; Tricks"},"content":{"rendered":"<p>This blog post is aimed at Microsoft Excel beginners, and will leave you feeling confident about what Excel is used for, with a few tricks up your sleeve to boot.<\/p>\n<h2>What is Microsoft Excel?<\/h2>\n<p><strong>Excel is a program created for spreadsheets which contain data.<\/strong> Data can be numbers or text. <a href=\"https:\/\/products.office.com\/en-ca\/excel\">Microsoft Excel<\/a> is the tool to use if you want to analyze data, perform calculations, or turn data into a visual graph. If you&#8217;re just looking to create a visual table without the need to manipulate data, I&#8217;d suggest <a href=\"https:\/\/products.office.com\/en\/word\">Microsoft Word<\/a> or <a href=\"https:\/\/www.onenote.com\/\">OneNote<\/a>.<\/p>\n<h2>Getting Started in Excel<\/h2>\n<p>If you&#8217;re not familiar with Excel, it&#8217;s probably tough to know where to begin. This next set of tips should give you some knowledge of how to use formulas, along with some handy tricks that will help you in the wild west of Microsoft Excel.<\/p>\n<p>To understand what Excel is capable of, here&#8217;s a handy tab in Excel called <strong>Formulas<\/strong>, with a plethora of formulas available for you to use.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-312\" src=\"https:\/\/regroove.ca\/karin\/wp-content\/uploads\/sites\/4\/2016\/10\/Formulas.png\" alt=\"formulas\" width=\"591\" height=\"332\" srcset=\"https:\/\/regroove.ca\/karin\/wp-content\/uploads\/sites\/4\/2016\/10\/Formulas.png 591w, https:\/\/regroove.ca\/karin\/wp-content\/uploads\/sites\/4\/2016\/10\/Formulas-300x169.png 300w\" sizes=\"(max-width: 591px) 100vw, 591px\" \/><\/p>\n<p>Even if these formulas are unfamiliar, you can see what they do at a glance by hovering over them. If you don&#8217;t have any real data, but you want to play with some formulas, you can generate random numbers by following the steps in this quick video Byte <a href=\"https:\/\/vimeo.com\/187263310\">here<\/a>.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-315 size-full\" src=\"https:\/\/regroove.ca\/karin\/wp-content\/uploads\/sites\/4\/2016\/10\/Formula-Hover-e1476729469928.png\" alt=\"formula-hover\" width=\"466\" height=\"403\" srcset=\"https:\/\/regroove.ca\/karin\/wp-content\/uploads\/sites\/4\/2016\/10\/Formula-Hover-e1476729469928.png 466w, https:\/\/regroove.ca\/karin\/wp-content\/uploads\/sites\/4\/2016\/10\/Formula-Hover-e1476729469928-300x259.png 300w\" sizes=\"(max-width: 466px) 100vw, 466px\" \/><\/p>\n<p>The <strong>Quick Analysis<\/strong> tool is also handy. Simply select your cells, then a little box on the side with an icon inside it will pop up. Quick Analysis gives you a list of suggestions of how to use your data, depending on what your cells contain.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-311\" src=\"https:\/\/regroove.ca\/karin\/wp-content\/uploads\/sites\/4\/2016\/10\/Quick-Analysis.gif\" alt=\"quick-analysis\" width=\"760\" height=\"426\"><\/p>\n<h3>Let&#8217;s jump into an example.<\/h3>\n<p>Say Employee X wants to figure out how much they&#8217;ve earned per year over the past five years with their company.<\/p>\n<p>First, we plunk the data in. <em>Hourly Pay<\/em> and <em>Hours Worked Per Week<\/em>. We&#8217;ll create another column called <em>Year&#8217;s Pay<\/em>, but we&#8217;ll leave that one blank.<\/p>\n<p>To format your data as a table, click <strong>Format as Table<\/strong> on the Home page.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-316\" src=\"https:\/\/regroove.ca\/karin\/wp-content\/uploads\/sites\/4\/2016\/10\/Format-Table.gif\" alt=\"format-table\" width=\"788\" height=\"560\"><\/p>\n<p>Now that your table looks nice and table-y, we want to calculate how much Employee X has earned. To do that we&#8217;ll use some basic algebra.<\/p>\n<p><em>Hourly Pay x Hours Worked Per Week x 52 weeks in a year = Year&#8217;s Pay<\/em>. (Keep in mind that Excel formulas use asterisks as multiplication signs.)<\/p>\n<p>Our formula would be is &#8220;<em>B3*C2*52=<\/em>&#8220;.<\/p>\n<p>Type that in, press enter, and voila &#8211; the calculations are made for you. In Excel 2013 or later, <strong>Flash Fill<\/strong> will do the work for the rest of the cells.<\/p>\n<p>If you&#8217;re interested in learning more about Flash Fill, I made a video Byte that you can check out <a href=\"https:\/\/vimeo.com\/170240842\">here<\/a>.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-308\" src=\"https:\/\/regroove.ca\/karin\/wp-content\/uploads\/sites\/4\/2016\/10\/Calculating.gif\" alt=\"calculating\" width=\"788\" height=\"560\"><\/p>\n<p>Neato!<\/p>\n<p>Now that you have your data, how about visualizing it in a cool chart?<\/p>\n<p>Just head to the <strong>Insert<\/strong> tab. From there you can choose a type of chart you&#8217;d like. You can also choose <strong>Recommended Charts<\/strong> and see a list of recommended charts, then easily switch to a tab with <strong>All Charts<\/strong>.
