365 \u2013 \u201cOutlook\u201d Groups, Part 2"},"content":{"rendered":"<p>In the first part of this series I looked at the basics of creating an Outlook Group in the Office 365 Mail client and I also highlighted the components of the created Group.\u00a0 In this post I\u2019m going to look at how the Group looks in and interacts with Outlook on a PC as well as in the Android Groups app.<\/p>\n<p><strong>NOTE:\u00a0 I\u2019m using Office 2016 for the Outlook portion of this demo, the Groups feature in Outlook is\u00a0only available\u00a0with the Outlook client from Office 2016.\u00a0 <\/strong><\/p>\n<p>Outlook displays Groups in much the same fashion as anything else is displayed in Outlook, there is a Group listing on the left hand side of the Outlook screen:<\/p>\n<p><a href=\"https:\/\/regroove.ca\/archive\/wp-content\/uploads\/sites\/6\/2015\/11\/image31.png\"><img loading=\"lazy\" decoding=\"async\" style=\"background-image: none;padding-top: 0px;padding-left: 0px;margin: 0px;padding-right: 0px;border-width: 0px\" title=\"image\" src=\"http:\/\/thebeagle.itgroove.net\/wp-content\/uploads\/sites\/4\/2015\/11\/image_thumb31.png\" alt=\"image\" width=\"211\" height=\"175\" border=\"0\" \/><\/a><\/p>\n<p>And when you expand Groups you can see the Groups that you are currently subscribed to:<\/p>\n<p><a href=\"https:\/\/regroove.ca\/archive\/wp-content\/uploads\/sites\/6\/2015\/11\/image32.png\"><img loading=\"lazy\" decoding=\"async\" style=\"background-image: none;padding-top: 0px;padding-left: 0px;margin: 0px;padding-right: 0px;border-width: 0px\" title=\"image\" src=\"http:\/\/thebeagle.itgroove.net\/wp-content\/uploads\/sites\/4\/2015\/11\/image_thumb32.png\" alt=\"image\" width=\"223\" height=\"146\" border=\"0\" \/><\/a><\/p>\n<p>&nbsp;<\/p>\n<p>Clicking on the Internal IT Group lights up a whole lot of things!<\/p>\n<p><a href=\"https:\/\/regroove.ca\/archive\/wp-content\/uploads\/sites\/6\/2015\/11\/image33.png\"><img loading=\"lazy\" decoding=\"async\" style=\"background-image: none;padding-top: 0px;padding-left: 0px;padding-right: 0px;border-width: 0px\" title=\"image\" src=\"http:\/\/thebeagle.itgroove.net\/wp-content\/uploads\/sites\/4\/2015\/11\/image_thumb33.png\" alt=\"image\" width=\"742\" height=\"415\" border=\"0\" \/><\/a><\/p>\n<p>As you can see, it\u2019s the same listing that we saw in the Office 365 Mail client.\u00a0 And, by definition, the links go to the same places.<\/p>\n<p>While everything looks like it is contained inside Outlook it actually is not and Outlook (along with the various links) is smart enough to pass you off to the appropriate program depending on the link you click.<\/p>\n<p>Clicking on Files actually connects you to the document library (labeled as OneDrive) up in your tenancy and it opens in your default browser:<\/p>\n<p>&nbsp;<\/p>\n<p><a href=\"https:\/\/regroove.ca\/archive\/wp-content\/uploads\/sites\/6\/2015\/11\/image34.png\"><img loading=\"lazy\" decoding=\"async\" style=\"background-image: none;padding-top: 0px;padding-left: 0px;padding-right: 0px;border: 0px\" title=\"image\" src=\"http:\/\/thebeagle.itgroove.net\/wp-content\/uploads\/sites\/4\/2015\/11\/image_thumb34.png\" alt=\"image\" width=\"747\" height=\"488\" border=\"0\" \/><\/a><\/p>\n<p>&nbsp;<\/p>\n<p>Clicking on OneNote will either open up OneNote Online OR your local OneNote program but the <em>source<\/em> of the OneNote is from O365 (I\u2019m doing this on a machine with OneNote installed so I get the full OneNote experience):<\/p>\n<p><a href=\"https:\/\/regroove.ca\/archive\/wp-content\/uploads\/sites\/6\/2015\/11\/image35.png\"><img loading=\"lazy\" decoding=\"async\" style=\"background-image: none;padding-top: 0px;padding-left: 0px;padding-right: 0px;border-width: 0px\" title=\"image\" src=\"http:\/\/thebeagle.itgroove.net\/wp-content\/uploads\/sites\/4\/2015\/11\/image_thumb35.png\" alt=\"image\" width=\"749\" height=\"371\" border=\"0\" \/><\/a><\/p>\n<p>And I\u2019m going to create a page here so that we can see it from other devices later in this post.<\/p>\n<p><a href=\"https:\/\/regroove.ca\/archive\/wp-content\/uploads\/sites\/6\/2015\/11\/image36.png\"><img loading=\"lazy\" decoding=\"async\" style=\"background-image: none;padding-top: 0px;padding-left: 0px;padding-right: 0px;border-width: 0px\" title=\"image\" src=\"http:\/\/thebeagle.itgroove.net\/wp-content\/uploads\/sites\/4\/2015\/11\/image_thumb36.png\" alt=\"image\" width=\"751\" height=\"332\" border=\"0\" \/><\/a><\/p>\n<p>By now you\u2019re probably getting the drift,\u00a0 Groups are pretty simple to set up and use.\u00a0 And it\u2019s easy to find the data you want as it is all contained within the Group and within Outlook (as a launching point).\u00a0 Another thing to note is that you can also initiate the Group creation process from Outlook, it is pretty much the same process as I highlighted in <a href=\"https:\/\/thebeagle.itgroove.net\/2015\/11\/24\/office-365-outlook-groups-part-1\/\" target=\"_blank\" rel=\"noopener noreferrer\">Part 1<\/a> of this posting series.\u00a0 To initiate you right-click on the <strong>Groups<\/strong> link then click on <strong>New Group<\/strong>.\u00a0 You\u2019ll then get prompted through the process in much the same fashion as through the O365 Mail client:<\/p>\n<p><a href=\"https:\/\/regroove.ca\/archive\/wp-content\/uploads\/sites\/6\/2015\/11\/image37.png\"><img loading=\"lazy\" decoding=\"async\" style=\"background-image: none;padding-top: 0px;padding-left: 0px;padding-right: 0px;border-width: 0px\" title=\"image\" src=\"http:\/\/thebeagle.itgroove.net\/wp-content\/uploads\/sites\/4\/2015\/11\/image_thumb37.png\" alt=\"image\" width=\"620\" height=\"247\" border=\"0\" \/><\/a><\/p>\n<p>I\u2019m not going to complete the process but as you can see, it is the same as the process detailed in Part 1.<\/p>\n<p>Now to switch gears a little bit.\u00a0 To this point I\u2019ve been focusing on how things work on PC\u2019s or through a browser but, as we all know, nowadays it\u2019s all about being able to get at your needed data with any device that comes to hand.\u00a0 And Groups are no exception as there is a Groups App for both iOS devices as well as Android devices!\u00a0 I have an Android phone and an Android tablet so I\u2019ll show some of the experience on Android.<\/p>\n<p><a href=\"https:\/\/regroove.ca\/archive\/wp-content\/uploads\/sites\/6\/2015\/11\/Screenshot_2015-11-24-14-05-03.png\"><img loading=\"lazy\" decoding=\"async\" style=\"background-image: none;padding-top: 0px;padding-left: 0px;padding-right: 0px;border-width: 0px\" title=\"Screenshot_2015-11-24-14-05-03\" src=\"http:\/\/thebeagle.itgroove.net\/wp-content\/uploads\/sites\/4\/2015\/11\/Screenshot_2015-11-24-14-05-03_thumb.png\" alt=\"Screenshot_2015-11-24-14-05-03\" width=\"261\" height=\"447\" border=\"0\" \/><\/a><\/p>\n<p>I have logged into the Group on my phone and, as you can see, all of the bits and pieces are available from the main screen.<\/p>\n<p>I click on the <strong>Files<\/strong> link and my document library shows up:<\/p>\n<p><a href=\"https:\/\/regroove.ca\/archive\/wp-content\/uploads\/sites\/6\/2015\/11\/Screenshot_2015-11-25-11-12-56.png\"><img loading=\"lazy\" decoding=\"async\" style=\"background-image: none;padding-top: 0px;padding-left: 0px;padding-right: 0px;border: 0px\" title=\"Screenshot_2015-11-25-11-12-56\" src=\"http:\/\/thebeagle.itgroove.net\/wp-content\/uploads\/sites\/4\/2015\/11\/Screenshot_2015-11-25-11-12-56_thumb.png\" alt=\"Screenshot_2015-11-25-11-12-56\" width=\"262\" height=\"366\" border=\"0\" \/><\/a><\/p>\n<p>And, as you can see, the file that we saw in the library earlier when we browsed from Outlook is also available on the phone via the App.<\/p>\n<p>If I go back to the main screen in the app and click on the <strong>Notebook <\/strong>icon I see this:<\/p>\n<p>&nbsp;<\/p>\n<p><a href=\"https:\/\/regroove.ca\/archive\/wp-content\/uploads\/sites\/6\/2015\/11\/Screenshot_2015-11-27-20-30-01.png\"><img loading=\"lazy\" decoding=\"async\" style=\"background-image: border=\"0\" \/><\/a><\/p>\n<p>&nbsp;<\/p>\n<p>And to prove this is a two way street I\u2019ve \u201cinked\u201d the page on my phone (gotta love the SPen on my Note 4!).<\/p>\n<p><a href=\"https:\/\/regroove.ca\/archive\/wp-content\/uploads\/sites\/6\/2015\/11\/Screenshot_2015-11-27-20-45-06.png\"><img loading=\"lazy\" decoding=\"async\" style=\"background-image: none;padding-top: 0px;padding-left: 0px;padding-right: 0px;border: 0px\" title=\"Screenshot_2015-11-27-20-45-06\" src=\"http:\/\/thebeagle.itgroove.net\/wp-content\/uploads\/sites\/4\/2015\/11\/Screenshot_2015-11-27-20-45-06_thumb.png\" alt=\"Screenshot_2015-11-27-20-45-06\" width=\"265\" height=\"371\" border=\"0\" \/><\/a><\/p>\n<p>&nbsp;<\/p>\n<p>Connecting back to the OneNote from Outlook I see this:<\/p>\n<p><a href=\"https:\/\/regroove.ca\/archive\/wp-content\/uploads\/sites\/6\/2015\/11\/image38.png\"><img loading=\"lazy\" decoding=\"async\" style=\"background-image: none;padding-top: 0px;padding-left: 0px;padding-right: 0px;border: 0px\" title=\"image\" src=\"http:\/\/thebeagle.itgroove.net\/wp-content\/uploads\/sites\/4\/2015\/11\/image_thumb38.png\" alt=\"image\" width=\"702\" height=\"382\" border=\"0\" \/><\/a><\/p>\n<p>This is <em>very <\/em>cool stuff!\u00a0 Now I really can use any of my devices to both <em>access<\/em> and <em>create<\/em> information that I can share with the rest of my team and that they can share with me.\u00a0 I\u2019m not bound to a single device or a single <em>class<\/em> of device (eg a PC), I can collaborate <em>on the go <\/em>and my team can see and access the information that I update in any of the Group apps pretty much in real time as I create it.\u00a0 I could be sitting in the office at my PC, I could be on the couch at home with my tablet or sitting in a waiting room somewhere with my phone and I can use <em>any<\/em> of those devices to collaborate.\u00a0 And, best of all, I or a colleague can spin up a Group as and when it is required.<\/p>\n<p>The Groups App is being continuously \u201cpolished\u201d for iOS and Android so if your phone or tablet interface looks a bit different from what I\u2019ve demo\u2019d here, well that\u2019s okay and all part of the new \u201cAgile\u201d Microsoft.\u00a0 I think the App (and the Outlook support) along with the whole concept of \u201cGroups\u201d within Office 365 is one of the most <em>empowering<\/em> features that Microsoft has released as part of the overall Office 365 suite of applications and services.\u00a0\u00a0 It is a powerful tool for anyone or any organization that wants to leverage the investment they have in their O365 subscription.\u00a0 I urge you to roll up your sleeves and get a little \u201cmessy\u201d by diving in and investigating how Groups could work for you.\u00a0 (Small Business, are you paying attention?\u00a0 This is <em>your<\/em> tool!\u00a0 Run with it!!)<\/p>\n","protected":false},"excerpt":{"rendered":"<p>In the first part of this
