{"id":2083,"date":"2015-05-20T00:49:58","date_gmt":"2015-05-20T00:49:58","guid":{"rendered":"https:\/\/seek.itgroove.net\/?p=121"},"modified":"2023-02-24T21:39:44","modified_gmt":"2023-02-24T21:39:44","slug":"archiving-digital-objects","status":"publish","type":"post","link":"https:\/\/regroove.ca\/archive\/2015\/05\/20\/archiving-digital-objects\/","title":{"rendered":"Archiving Digital Objects"},"content":{"rendered":"<p>When someone asks me about archiving digital objects I&#8217;m never sure what sort of quality they want. \u00a0Most of the time someone&#8217;s just talking about the lower-case &#8220;archive&#8221; and maybe a button in Microsoft Outlook or a <a href=\"https:\/\/wordpress.org\/plugins\/archive\/\" target=\"_blank\" rel=\"noopener noreferrer\">WordPress plugin<\/a>. \u00a0In this case they just want to &#8216;hide the old stuff somewhere, so they don&#8217;t have to think about it&#8217;. \u00a0That&#8217;s a real business need, but it&#8217;s not true archiving.<\/p>\n<p>But occasionally\u00a0someone is talking about the upper-case &#8220;Archive&#8221; and need to plan for a true archival system that is managed by professional Archivists and caters to a specific clientele! \u00a0In the digital world \u00a0there are even easily accessible tools like <a href=\"https:\/\/ww.archivematica.org\/en\/\" target=\"_blank\" rel=\"noopener noreferrer\">Archivematica<\/a> which is:<\/p>\n<blockquote><p>&#8220;a free and open-source digital preservation system that is designed to maintain standards-based, long-term access to collections of digital objects. It uses micro-services to provide an integrated suite of software tools that allows users to process digital objects from ingest to access in compliance with the ISO-OAIS functional model. Users monitor and control the micro-services via a web-based dashboard&#8221; (<a href=\"http:\/\/www.loc.gov\/standards\/premis\/registry\/premis-project_name.php?proj_ID=676\" target=\"_blank\" rel=\"noopener noreferrer\">Library of Congress, Standards, PREMIS Implementation Registry<\/a>).<\/p><\/blockquote>\n<p>Now once upon a time Microsoft Office had a bit of a bad reputation in the archival world. \u00a0I know you don&#8217;t believe me, but it&#8217;s true! \u00a0This was primarily because Archivists needed to pay for licenses to install, open and use the MS Office Suite on their workstations, especially when they were trying to run a conversion\/normalization process. \u00a0But those tough old days are nearly gone. \u00a0Today it&#8217;s pretty easy to download free MS Office viewers, as well as basic MS Office apps that are now available for free on both iOS and Android (soon).<\/p>\n<p>If this isn&#8217;t enough for you and your Archivists, then keep in mind that you can also talk to general Information Management professionals who know the Microsoft stack and can\u00a0help you set up controlled, automated processes to convert your MS Office documents to more open formats in usual and ordinary course of business. \u00a0Maybe at the end of such a process (maybe using <a href=\"http:\/\/www.nintex.com\/workflow-platform\/nintex-workflow\" target=\"_blank\" rel=\"noopener noreferrer\">Nintex Workflow<\/a>&#8230; maybe using <a href=\"http:\/\/www.collabware.com\/Products\/CLM-for-SharePoint\/Pages\/Features.aspx\" target=\"_blank\" rel=\"noopener noreferrer\">Collabware CLM<\/a>&#8230;) you&#8217;ll save the files to a shared directory where a system like Archivematica can keep watch, scoop them up and start the true archival work.<\/p>\n<p>If you want to know more about Archivematica and technical &amp;\u00a0descriptive metadata for archival preservation, start here:<\/p>\n<ul>\n<li>Overview\n<ul>\n<li><a href=\"http:\/\/www.dcc.ac.uk\/resources\/external\/archivematica\" target=\"_blank\" rel=\"noopener noreferrer\">The Digital Curation Centre (DCC) that assists with research data management has a good summary of Archivematica here<\/a><\/li>\n<li><a href=\"http:\/\/www.loc.gov\/standards\/premis\/registry\/premis-project_name.php?proj_ID=676\" target=\"_blank\" rel=\"noopener noreferrer\">The Library of Congress (LOC) PREMIS Implementation Registry mentioned above<\/a><\/li>\n<\/ul>\n<\/li>\n<li>Metadata\n<ul>\n<li><a href=\"https:\/\/www.archivematica.org\/wiki\/Metadata_elements\" target=\"_blank\" rel=\"noopener noreferrer\">The list of metadata elements used in Archivematica (Dublin Core can form part of the METS)<\/a><\/li>\n<li><a href=\"http:\/\/www2.archivists.org\/sites\/all\/files\/CourtneyMummaArchivematica_reducedSize.pdf\" target=\"_blank\" rel=\"noopener noreferrer\">Courtney C.
